HOTEL MANAGEMENT SYSTEM

Abstract:

The project and implimentation Hotel Management System is used for maintaining the information for each and every customer, employee, driver and product. Each and every customer has own personal details and the products are transferred through the driver. Before providing the product to customer, the administrator gathering necessary information about the product meanwhile the invoice is also raised for the customerâ„¢s product.

Feasibility Analysis:

The Hotel Manager software is a web-based application that is designed to be implemented for small to medium sized hotels. The privilege of creating this application as a web-based one is that it could be run by several offices within the hotel such as the front desk, managerial office, etc…
This software’s objective is mainly to keep track of the hotel room’s conditions if available, accommodated or even requires housekeeping or maintenance. The main objective is accompanied by several other services that are provided through the software features such as hotel airport shuttle services & taxi scheduling, restaurant reservations management, wake up calls alarms or even laundry services organizer. Bill generation is one of the options as well that is provided by this software
Upon providing such services the user is capable of accessing their hotel rooms database easily, while having useful information about their statuses; furthermore, being able to monitor the other services being provided for guests accommodating in the hotel.
Hotel Manager software would create a user-friendly interface, where any hotel employee would be able to use this software with basic computer skills. The software is developed using “Java” programming language, which makes the system conflict-free from running on any type of operating system..

Project Overview


This Project Hotel Management System is to design a web based system. Which facilitates on line reservation of hotel accommodations from anywhere in the world . In this project and implimentation there are three modules .They are

1.Customer Module
2.Management module
3.Hotel Registration/Administration Module.


Customer Module


The Customer Module is again divided into two sub modules.

Customer Booking Module
Customer Services Module


Customer Booking Module provides an interface to the user to view cities located in a selected country,hotels in the selected city. It also provides a view of all facilities and their corresponding costs available in that selected hotel. This module allows the user to select facilities of this choice and allows him to submit a reservation.Based on the choice made by the user the system displays an invoice from regarding bill,if he agrees for the bill he will be facilitated with an userid and password using which he can proceed for modifications in the future. Finally the system accepts the payment mode and validates his mode of payment.

Customer Services module provides three services to the customer who has already reserved his accommodation with the system.The various services provided by the system are
1.look up the confirmed reservation.
2.modify the reservation details like checkin date,checkout date,number of rooms,room type etc.
3.cancel the reservation.

Management module
Management module deals with the hotel room status administration and enable the hotel manager to enlist his hotel status with the system,to see the list of orders booked in his hotel,modify the number of rooms etc.


Hotel Reservation/administration module

This module is again divided in to two submodules namely
1.hotel registration module
2.hotel administration module

Hotel registration module accepts hotel details like hotel name,license number,administration number,its distance from airport,railway station,bus station ,its address,its hotel manager name etc.It also accepts the facilities provided by the hotel and their corresponding costs.This system allots a unique hotel identity to each and every hotel and provides a password facility maintain secrecy of the hotel details.
Hotel administration module provides services like modifications in the hotel details and also provides an opportunity to with draw from the system.



PRELIMINARY INVESTIGATION


Problem statement:

The project and implimentation entitled OnLine Hotel Reservation is a web based system which facilitates online reservation of hotel accommodations from any where in the world.If a person wants to reserve his accommodation he would to know the list of hotels in the city he wants to visit,different amenities provided in each hotel the different types of rooms available,the rates of those rooms,the constraints of the hotel and finally the availability of the desired rooms on the desired rate.
He may achieve all this through travell agencies ,the guides available,by making enquiries in person,by making enquiries through telephone.If he wants to make a choice between the hotels he has to repeat the whole process for anumber of hotels .After being satisfied with the choice he has to confirm his reservation by paying the amount personally or through middle persons.This process is laborious and his choice is limited.

So we found the necessity of providing all the information and the facility to reserve his accommodation through the net so that maximum satisfaction is achieved by the customer with least effort.The solution we are providing to this is to design a website that contains information about various cities and the reputed hotels in each city along with the facilities, types of rooms and their rates.The rourist can also choose the hotel of his interest.





FEASIBILITY STUDY

Feasibility study conducted once the problem is clearly understood.Feasibility study is a high level capsule version of the entire system-analysis and design process.The objective is to determine quickly and at the minimum expense how to solve the problem and to determine the problem is solved.The system has been tested for feasibility in the following ways.

Technical feasibility
Operational feasibility
Economical feasibility

Technical feasibility:
A study of function ,performance and constraints may effect the ability to achieve an acceptable system so ,that necessary function and performance are achieved with in the constraints uncovered during system analysis.The software developed for the automation of Hotel Reservation System is used in client server architecture with
Ms Access as backend and .net1.3 as front end.Since the software is platform independent and has predefined functions and constraints such as to locate the charges ,validating functions etc.,so the project and implimentation is technically feasible.


Operational feasibility:
The purpose of this project and implimentation is to develop a
Web based system which facilitates on line reservation of hotel accommodation from any where in the world.The activities of the system such as data entry ,information retrieval ,updating and deletion of records from various tables etc are made easy .All the operators of this project and implimentation are trained in this area.So this project and implimentation is operational feasible.

Economical feasibility:
Economic analysis includes a broad range of concerns that include cost benefit analysis ,long term cooperative income strategies,cost of resources needed for development .In existing they had to maintain a large number of books/registers is a costly affair.This can be avoided by putting the data in the computer format that is cheaper and reliable.Since the cost of resources for development of system satisfies the organization,the software is economically feasible.



PROBLEM DEFINITION
The purpose of this system is to provide the customer a facility to reserve his accommodation through the net so that maximum satisfaction is achieved by the customer with least effort.
The system will also allow the customer to modify his reservation details of the booking already done.The system also provides an interface to the hotel administrators for enlisting themselves with the system,updating their current status of the facilities.

SIGNIFICANCE

If a customer wants to know the list of hotels in the city,the different amenities provided in each hotel,types of rooms available ,the rate constraints,availability of desired types of rooms on desired dates,he has to approach a travel agencies or guides available or by making enquiries in person or making through telephone.If the customer wants to make a choice between the hotels he has to repeat the process for a number of hotels personally or through the middle persons which is a laborious process and choice is limited.
This is very unsatisfactory to the customer.So we found the necessity of providing all the information and the facility to reserve his accommodation through the net so that maximum satisfaction is achievied by the customer.
The solution we are providing to this is that we are developing a website that contains information about various cities and the reputed hotels in each city along with the facilities,types of rooms,their rates and also aan interface to reserve his accommodation so that the customer can choose the hotel of his interest.

OBJECTIVES
1.To enable the user to reserve his /her accommodation in a hotel any where in the world sitting at home through the internet.

2.To enable the user to look up his/her confirmed reservation or modify or cancel the reservation if required.

3.To allow the manager of the hotel to enlist his hotel with the system

4.To allow the manager of the hotel to scrutinize the list of orders and their details.

5.To allow the manager of the hotel to modify the hotel information from time to time.







SYSTEM DESIGN

Based on the requirements and specifications,the system design was carriedout to give detailed description of input screens, output screens,table descriptions.The ststem has been designed to provide easy entry of data .Data can be entered in the form of database tables.Reports are also generated.The system has been designed to reduce workload inconsistencies,redundancy of data and also to improve transparency

INPUT DESIGN:

Using system analysis,input screens are designed for the purpose of data entry like adding new information, retrieving data for updating, deleting the data and modifying the data.

OUTPUT DESIGN:

The principal output of the system listing and reports. the listing are generated using list boxes. The listings main purpose is viewing records from database without any modification. The reports are generated using crystal reports. The reports include hotel facilities wise , names of all hotels in city wise, depending on the purpose of the user specification and choice.

System Flowcharts


A system flowchart is a traditional tool for describing a physical system. The basic idea is to provide a symbol to represent , at black box level each discrete component in the system that is programs ,files,forms,procedures and so on.While flow of the symbols are the same as of flowcharts. It gives an overview of physical system.


A DFD represents another abstract picture of the system. In contrast, the flow chart is more concrete specific programs or procedures to replace the data stores given the flow chart it is possible to visualize a great deal of technical information to highlight missing pieces. The system flow chart can be used to map a hardware system.

DESCRIPTION FOR LANGUAGE AND PLATEFORM USED
C++ is an object-oriented programming language. Bijrane Stroustruput AT&T Bell laboratories in Murray Hill, New Jersey, developed it USA, in the early 1980’s. Stroustrup, an admirer of Simula67 and a strong supporter of C, wanted to combine the best of both the languages and create a more powerful language that could support object-oriented programming features and still retain the power and elegance of C. The result was C++. Therefore, C++ is an extension of C with a major addition of the class construct feature of Simula67. Since the class was a major addition to the original C language, Stroustrup initially called the new language ‘C with classes’. However, later in 1983, the name was changed to C++. The idea of C++ comes from the C increment operator ++, thereby suggesting that C++ is an augmented (incremented) version of C.
C++ is a superset of C. The most important facilities that C++ adds on to C are classes, inheritance, function overloading, and operator overloading. These features enable creating of abstract data types, inherit properties from existing data types and support polymorphism, thereby making C++ a truly object-oriented language.
The object-oriented features in C++ allow programmers to build large programs with clarity, extensibility and ease of maintenance, incorporating the spirit and efficiency of C. The addition of new features has transformed C from a language that currently facilities top-down, structured design, to one that provides bottom-up, object-oriented design.

FEATURES OF THE OPERATING SYSTEM
WINDOWS XP

The Windows operating system started with the introduction of Windows OS and Windows for work group for networking. Since then it has come a long way and windows 95,98,2000 family of operating systems were introduced. It is succeeded by windows Vista. Windows XP provided the computer user with the most integrated and easy to use operating system with all the facilities in built. The Windows XP is the newborn baby in the windows family. It is built on the Windows 2000 concept ands framework .It has more features to provide the user with greater stability, security and enhanced performance.
Windows XP is the most popular Operating system presently and has many features which make it the best. Some of its best features are:
• Windows File Protection: Protects core system files from being overwritten by application installations. If a file is overwritten ,Windows File protection will restore the correct version.

JUSTIFICATION OF PROJECT
This software is built up top meet need of a computerized “HOTEL MANAGEMENT SYSTEM”.
This is based on new techniques and based on new idea . This is totally different and beneficial for other to easily use and understand. This Software provides fresher processing of any query
and make information up–to–date. In this project and implimentation “ HOTEL MANAGEMENT ”,main three database files are maintained named “ Room details, Customer details, Rent details”. In Customer detail file, all customers related information is described . Customer name, Customer id, and room number can do searching .
When Customer enters in hotel all facilities required to a customer are provided . Room maintenance facility is also considered in this project and implimentation .
Rent details file contains the rent information about each room .
Automation of billing system is this project and implimentation . Automation of restaurant is also attached in this project and implimentation . There are three option for customer’s choice . first is lunch second is Dinner the third is Breakfast . Each option contains a list of items within it so that a customer can select any item according to their choice...

Overview of C

C is a programming language. It is most popular computer language today because it is a structured high level, machine independent language. Programmers need not worry about the hardware platform where they will be implemented.
Dennis Ritchie invented C language. Ken Thompson created a language which was based upon a language known as BCPL and it was called as B. NEED OF HOTEL MANAGEMENT SYSTEM

1) The ability to make inquiries and reservations

The system will be able to search for available rooms satisfying a given criteria (e.g. number of beds in room needed, smoking/non-smoking etc.). If rooms with the given criteria are found, the system will allow reservations for both, groups or individuals to be made.
If told to do so the system will print seperate reports for all customers checking in for the day and all customers checking out.

2) Automate the room service aspect of the hotel

This feature of the system will automate some of the present manually carried out room service procedures (dropping of the Bill at the front desk). The kitchen staff will have electronic read access to the breakfast, lunch, and dinner menus. Thus, if a customer calls for room service he/she can be informed what is on the menu. When the customer room number and name are entered the system will show a room service form and special requirements (e.g. allergies, vegetarian/non-vegetarian etc.) for the customer. This form has to be filled out by the staff member taking the phone calls. Once this form is filled and the customer is satisfied with his/her orders, the menu items chosen and the special requirements segment in the form will automatically appear in the kitchen. This system will also append all the orders to a list of orders for this customer and when checking out the customer bill will reflect these orders.

3) Ability to keep track of customer accounts, outstanding bills and sales

This feature will allow the staff to view and print reports for outstanding customer bills, list of room service orders for each customer, phone bills, and total sales.

4) Ability to keep track of characteristics of rooms in the hotel

The system will keep track of each room's characteristics i.e. the rate, whether it is a single, double, triple, handicapped, honeymoon, or a presidential suite. Whether it is for smokers/non-smokers. Is it reserved? If so then from what date? Is it occupied? or is it available?

5) Ability to store messages for customers

Upon check in, a customer electronic mail box will be created for the room. If there are any messages left for the customer during his/her absence, the front desk has to enter the messages in the customer room mail box. Once the message is in the system, the message indicator in the customer's room will be triggered. The customer can then call the front desk and get a printout of the message.

6) Management functions

The system will give the management access to the following: Edit, create, delete room characteristics, staff accounts and assign access levels, registration, customer bills. Edit menu and food prices. Take and post messages for customers. Print privileged reports e.g. total sales

7) Security

The system will have security access levels. The management will have access to basically everything. The front desk will have access to create, delete, edit current bills, and registration forms of customers. Also take and post messages for customers. The kitchen staff will have access to edit room service order forms, special requirements and will be able to have read access to menus.

Beyond these general descriptions, there is much more specific information about how technologies can inquiry in the classroom because different pieces of software support inquiry in different ways, the technology descriptions below are grouped into twelve categories, primarily by how they affect classroom practice. The discussion of each category includes a determination of how it does – or does not – support inquiry, a look at how the software might be used in support of inquiry based learning, what classroom interactions might look like, and how and what students might be learning. In some cases, a more specific vignette is included to illustrate how the software student interaction might proceed.
A general comment on these categories: It is difficult to categorize anything complex into a small number of mutually exclusive categories. Many of the pieces of software combines characteristics from categories and can greatly increase its power and effect in this way. In some ways, therefore, these categories describe characteristics of software that can be combined in many ways. Furthermore, educational uses of telecommunications technologies bring additional opportunities to extend computer usage in creative ways that support inquiry based learning.

Solution Strategy

The education deficit in this country and others occurs because the quantity of student learning needs boosting. Students need access to more learning opportunities. While the quality of teaching in schools is often good, the quantity of learning – how much students learn, is insufficient. Schools serve to guide student learning, but actual learning takes place both inside and outside of school. There are few ways of increasing the quantity of learning taking place inside schools, but simple ways to increase the quantity of learning taking place outside of schools.

One strategy to increase the quantity of learning is to create new learning places like city’s strategy is to make learning so students can learn whatever they want, wherever they want, whenever their schedule allows.

In the time-stressed world many people live in, portable learning offers great promise. Even if there were a city on every block, some people would not be able to find time to visit one. How can we reach that time-stressed person with instruction that is lively, engaging and accessible at a time that fits into their schedule? Video is one way. Video used to be expensive to produce, time consuming to copy and expensive to produce, time consuming to copy and expensive to distribute. Now videos can be produced cheaply, copied fast and distributed at substantially reduced costs.


Acceptance Criteria

Whenever we develop any application we always move by keeping an acceptance criterion in our mind. Its importance can’t be neglected since the new system that is developed is always evaluated according to the specifications made in any acceptance criteria. The basic specifications that are included in any acceptance criteria are like minimum resources usage, minimum time taken and maximum output. Generally speaking following are the main acceptance criteria:
The system must reflect the structure of the application it is going to serve with well-defined structure processes. Also the system must be able to cope with well-defined structure processes.
System must be able to pass various tests performed in the testing stage, like about the system functions, various options provided by the system, giving the desired result at different inputs, its execution time, its response time, its throughputs etc. System must fulfill the criteria specified in the functional and performance requirements. The output of the system should meet the required correctness, reliability and satisfaction of the user.
The system should satisfy the standards and requirements of good software. A few of them are:
A. User friendly: The software must be user friendly in the sense that any novice user can understand and work on it easily.
B. Time element: The system must respond in minimum time i.e. execution time must be as little as possible.
C. Generality: The application should be a general one so that even the person who has not developed this application should be able to make the required modifications.
D. Integrity: The outputs given by the system should be accurate and reliable.
E. Transparency: The applications should be transparent in nature so that person who has to modify it able to understand it. For this proper documentation can be very helpful. Also program abstracts i.e. short written information about the program, can be provided separately in manuals.
F. Modularity: The software should be modular so that if a need for any change arises in the future then it should not require too much of the effort and change in one module should not affect the other modules.

Feasibility Analysis
Meaning of Feasibility Analysis:-

A measure of how beneficial the development of a software system will be an organization. This analysis recurs throughout the life cycle.
Types of Feasibility Analysis:-
Managerial Feasibility: It involves the capability of the infrastructure of a process to achieve and sustain process improvement. Managerial support employee involvement and commitment are key elements required to ascertain managerial feasibility.
Financial Feasibility: Financial Feasibility should be distinguished from economic feasibility. Financial Feasibility involves the capability of the project and implimentation organization to raise the appropriate funds needed to implement the proposed project and implimentation. Project financing can be a major obstacle in large multiparty project and implimentations because of the level of capital required. Loan availability, credit worthiness, equity, and loan schedule are important aspects of Financial Feasibility analysis.

INTRODUCTION

This is a Project work undertaken in context of partial fulfillment of MCA.I have tried
my best to make the complicated process of Online Hotel Management System as simple
as possible using Structured & Modular technique & Menu oriented interface. I have tried
to design the software in such a way that user may not have any difficulty in using this
package & further expansion is possible without much effort. Even though I cannot claim
that this work to be entirely exhaustive, the main purpose of my exercise is perform each
Employee’s activity in computerized way rather than manually which is time consuming.

OBJECTIVE

During the past several decades personnel function has been transformed from a
relatively obscure record keeping staff to central and top level management function.
There are many factors that have influenced this transformation like technological
advances, professionalism, and general recognition of human beings as most important
resources.
• A computer based management system is designed to handle all the primary
information required to calculate monthly statements. Separate database is
maintained to handle all the details required for the correct statement calculation
and generation.
• This project and implimentation intends to introduce more user friendliness in the various activities
such as record updation, maintenance, and searching.
• The searching of record has been made quite simple as all the details of the
customer can be obtained by simply keying in the identification of that customer.
• Similarly, record maintenance and updation can also be accomplished by using
the identification of the customer with all the details being automatically
generated. These details are also being promptly automatically updated in the
master file thus keeping the record absolutely up-to-date.
• The entire information has maintained in the database or Files and whoever wants
to retrieve can’t retrieve, only authorization user can retrieve the necessary
information which can be easily be accessible from the file.

ADVANTAGE:

I have designed the given proposed system in the JSP to automate the process of Hotels.
This project and implimentation is useful for the authorities which keep track of all the users registered in a
particular state .The authority can add hotel packages, room details, availability of rooms,
online booking etc.
The following steps that give the detailed information of the need of proposed system are:
Performance: During past several decades, the records are supposed to be manually
handled for all activities. The manual handling of the record is time consuming and
highly prone to error. To improve the performance of the Hotel Management System, the
computerized system is to be undertaken. This project and implimentation is fully computerized and user
friendly even that any of the members can see the report and status of the company.
Efficiency: The basic need of this website is efficiency. The website should be efficient
so that whenever a new user submits his/her details the website is updated automatically.
This record will be useful for other users instantly.
Control: The complete control of the project and implimentation is under the hands of authorized person who
has the password to access this project and implimentation and illegal access is not supposed to deal with. All
the control is under the administrator and the other members have the rights to just see
the records not to change any transaction or entry.
Security: Security is the main criteria for the proposed system. Since illegal access may
corrupt the database. So security has to be given in this project and implimentation.

CONCLUSION

This project and implimentation is designed to meet the requirements of Online Hotel Management. It has
been developed in JSP, Servlets keeping in mind the specifications of the system.
For designing the system we have used simple data flow diagrams.
Overall the project and implimentation teaches us the essential skills like:
 Using system analysis and design techniques like data flow diagram in designing the
system.
 Understanding the database handling and query processing.

Introduction :-

Our System “General Store Management “, we have added the all required functionality. We can see in our day to day life that we are buying our routine life things from the shopping malls and from the general stores. In our system we have included all the required facility which is preliminary required by the General Store Owners.
If we see the other aspect of this system, this system is too useful for the shop owners to maintain the records for the sales and their business transaction. And also the for maintaining the detail of customers and the detail of selling and purchasing.
In this system also the all staff members information also maintained in this. The all primary details of the staff are available.
