HOSTEL MANAGEMENT

Abstract

As the name specifies "HOSTEL MANAGEMENT" is a software developed for managing various activities in the hostel.
For the past few years the number of educational institutions are increasing rapidly. Thereby the number of hostels are also increasing for the accommodation of the students studying in this institution. And hence there is a lot of strain on the person who are running the hostel and software's are not usually used in this context.
This particular project and implimentation deals with the problems on managing a hostel and avoids the problems which occur when carried manually
Identification of the drawbacks of the existing system leads to the designing of computerised system that will be compatible to the existing system with the system which is more user friendly and more GUI oriented. We can improve the efficiency of the system, thus overcome the drawbacks of the existing system.

CHAPTER 1
INTRODUCTION
1.1 Problem definition


We have got nine hostels in our university, which consist of four boy’s hostel and five girl’s hostel. All these hostels at present are managed manually by the hostel office. The Registration form verification to the different data processing are done manually. Thus there are a lot of repetitions which can be easily avoided. And hence there is a lot of strain on the person who are running the hostel and software’s are not usually used in this context.This particular project and implimentation deals with the problems on managing a hostel and avoids the problems which occur when carried manually Identification of the drawbacks of the existing system leads to the designing of computerized system that will be compatible to the existing system with the system which is more user friendly and more GUI oriented. We can improve the efficiency of the system, thus overcome the drawbacks of the existing system.


1.2 User Panel
1.2.1 User Login
1.2.1.1 Home
1. This consist of the different pop-up menus showing the details of the different hostels
2. It contain a link to the CUSAT official web-site.
3. It allows the different users to access the registration forms.
4. He can view the Student administration division of the different hostels and also view the notice boards.

1.2.1.2 Registration Form
This section provides an online form to the students which can be filled by them,and a copy of the
filled page can be taken in the printed form. This is later submitted to the Hostel authorities which can be
verified by them before alotting them to the respective hostels.

1.2.1.3 Notice Board
All the 9 hostels have their Notice boards. Any change in the Hostel fee, mess fee will be shown in
this. It can be also used for different notifications.

1.3 Admin Panel
1.3.1 Administrator Login
1.3.2.1 Home
The Administrator can:
1. Allot different students to the different hostels.
2. Vacate the students for the hostels.
3. Control the status of the fee payement.
4. Edit the details of the students & modify the student records.
1.3.2.1.1 Allotment of the hostels
Their will be pre-defined criterias for the admission to the hostels. He checks the attested
application forms of the students obtained from the internet and varify it with the student database. If the
students are found eligible then they are allotted to the hostel.
1.3.2.1.2 Vacating the rooms
As the student’s course is over they will vacate their rooms. So it is required for the administrator to
remove their records from the database tables. This section includes the option for the room vacation and
the deletion of the particular record from the database.

2.3 Software Features

2.3.1 PHP TRIAD

PHPTriad installs a complete working PHP/MySQL server environment on Windows platforms (9x/ NT). Installs PHP, MySQL, Apache, and PHPMyAdmin. 2.3.1.1 PHP
PHP is a scripting language originally designed for producing dynamic web pages. It has evolved to include a command line interface capability and can be used in standalone graphical applications. While PHP was originally created by Rasmus Lerdorf in 1995, the main implementation of PHP is now produced by The PHP Group and serves as the de facto standard for PHP as there is no formal specification. PHP is free software released under the PHP License, however it is incompatible with the GNU General Public License

(GPL), due to restrictions on the usage of the term PHP. It is a widely-used general-purpose scripting language that is especially suited for web development and can be embedded into HTML. It generally runs on a web server, taking PHP code as its input and creating web pages as output. It can be deployed on most web servers and on almost every operating system and platform free of charge. PHP is installed on more than 20 million websites and 1 million web servers. PHP originally stood for Personal Home Page. It began in 1994 as a set of Common Gateway Interface binaries written in the C programming language by the Danish/Greenlandic programmer Rasmus Lerdorf. Lerdorf initially created these Personal Home Page Tools to replace a small set of Perl scripts he had been using to maintain his personal homepage. The tools were used to perform tasks such as displaying his résumé and recording how much traffic his page was receiving. He combined these binaries with his Form Interpreter to create PHP/FI, which had more functionality. PHP/FI included a larger implementation for the C programming language and could communicate with databases, enabling the building of simple, dynamic web applications. Lerdorf released PHP publicly on June 8, 1995 to accelerate bug location and improve the code.

This release was named PHP version 2 and already had the basic functionality that PHP has today. This included Perl-like variables, form handling, and the ability to embed HTML. The syntax was similar to Perl but was more limited, simpler, and less consistent. Zeev Suraski and Andi Gutmans, two Israeli developers at the Technion IIT, rewrote the parser in 1997 and formed the base of PHP 3, changing the language’s name to the recursive initialism PHP: Hypertext Preprocessor. The development team officially released PHP/FI 2 in November 1997 after months of beta testing. Afterwards, public testing of PHP 3 began, and the official launch came in June 1998. Suraski and Gutmans then started a new rewrite of PHP’s core, producing the Zend Engine in 1999. They also founded Zend Technologies in Ramat Gan, Israel. On May 22, 2000, PHP 4, powered by the Zend Engine 1.0, was released. On July 13, 2004, PHP was released, powered by the new Zend Engine II. PHP 5 included new features such as improved support for object-oriented programming, the PHP Data Objects extension (which defines a lightweight and consistent interface for accessing databases), and numerous performance enhancements. The most recent update released by The PHP Group is for the older PHP version 4 code branch. In 2008, PHP 5 became the only stable version under development. Late static binding has been missing from PHP and will be added in version 5.3. PHP 6 is under development alongside PHP 5. Major changes include the removal of register_globals, magic quotes, and safe mode. The reason for the removals was because register_globals had given way to security holes, and magic quotes had an unpredictable nature, and was best avoided. Instead, to escape characters, Magic quotes may be substituted with the addslashes() function, or more appropriately an escape mechanism specific to the database vendor itself like mysql_real_escape_string() for MySQL. PHP does not have complete native support for Unicode or multibyte strings; Unicode support will be included in PHP 6. Many high profile open source project and implimentations ceased to support PHP 4 in new code as of February 5, 2008, due to the GoPHP5 initiative, provided by a consortium of PHP developers promoting the transition from PHP 4 to PHP 5. It runs in both 32-bit and 64-bit environments, but on Windows the only official distribution is 32-bit, requiring Windows 32-bit compatibility mode to be enabled while using IIS in a 64-bit Windows environment. There is a third-party distribution available for 64-bit Windows.

Usage

PHP is a general-purpose scripting language that is especially suited for web development. PHP generally runs on a web server, taking PHP code as its input and creating web pages as output. It can also be used for command-line scripting and client-side GUI applications. PHP can be deployed on most web servers, many operating systems and platforms, and can be used with many relational database management systems. It is available free of charge, and the PHP Group provides the complete source code for users to build, customize and extend for their own use.

PHP primarily acts as a filter, taking input from a file or stream containing text and/or PHP instructions and outputs another stream of data; most commonly the output will be HTML. It can automatically detect the language of the user. From PHP 4, the PHP parser compiles input to produce bytecode for processing by the Zend Engine, giving improved performance over its interpreter predecessor. Originally designed to create dynamic web pages, PHP’s principal focus is server-side scripting,and it is similar to other server-side scripting languages that provide dynamic content from a web server to a client, such as Microsoft’s Active Server Pages, Sun Microsystems’ JavaServer Pages, and mod_perl. PHP has also attracted the development of many frameworks that provide building blocks and a design structure to promote rapid application development (RAD). Some of these include CakePHP, Symfony, CodeIgniter, and Zend Framework, offering features similar to other web application frameworks. The LAMP architecture has become popular in the web industry as a way of deploying web applications. PHP is commonly used as the P in this bundle alongside Linux, Apache and MySQL, although the P may also refer to Python or Perl. As of April 2007, over 20 million Internet domains were hosted on servers with PHP installed, and PHP was recorded as the most popular Apache module. Significant websites are written in PHP including the userfacing portion of Facebook, Wikipedia (MediaWiki), Yahoo!, MyYearbook, , Digg, Wordpress and Tagged. In addition to server-side scripting, PHP can be used to create stand-alone, compiled applications and libraries, it can be used for shell scripting, and the PHP binaries can be called from the command line.

2.3.1.1.1 Speed optimization


As with many scripting languages, PHP scripts are normally kept as human-readable source code, even on production web servers. In this case, PHP scripts will be compiled at runtime by the PHP engine, which increases their execution time. PHP scripts are able to be compiled before runtime using PHP compilers as with other programming languages such as C (the language PHP and its extensions are written in). Code optimizers aim to reduce the computational complexity of the compiled code by reducing its size and making other changes that can reduce the execution time with the overall goal of improving performance. The nature of the PHP compiler is such that there are often opportunities for code optimization, and an example of a code optimizer is the Zend Optimizer PHP extension. Another approach for reducing overhead for high load PHP servers is using PHP accelerators. These can offer significant performance gains by caching the compiled form of a PHP script in shared memory to avoid the overhead of parsing and compiling the code every time the script runs.

2.3.1.1.2 Security

The National Vulnerability Database stores all vulnerabities found in computer software. The overall proportion of PHP-related vulnerabilities on the database amounted to: 12% in 2003, 20% in 2004, 28% in 2005, 43% in 2006, 36% in 2007, and 35% in 2008. Most of these PHP-related vulnerabilities can be exploited remotely: they allow hackers to steal or destroy data from data sources linked to the webserver (such as an SQL database), send spam or contribute to DOS attacks using malware, which itself can be installed on the vulnerable servers.

These vulnerabilities are caused mostly by not following best practice programming rules: technical security flaws of the language itself or of its core libraries are not frequent. Recognizing that programmers cannot be trusted, some languages include taint checking to detect automatically the lack of input validation which induces many issues. However, such a feature is being developed for PHP Hosting PHP applications on a server requires a careful and constant attention to deal with these security risks. There are advanced protection patches such as Suhosin and Hardening-Patch, especially designed for web hosting environments. Installing PHP as a CGI binary rather than as an Apache module is the preferred method for added security. With respect to securing the code itself, PHP code can be obfuscated to make it difficult to read while remaining functional.

This system automatically calculates all the bills and issued the notifications for those students who are against some rules.
1.2.OBJECTIVES OF PROJECT
This software product the hostel management to improve their services for all the students of the hostel. This also reduce the manual work of the persons in admin penal and the bundle of registers that were search when to find the information of a previous student, because through this system you can store the data of those students who had left the hostel . Through this you can check the personal profile of all the current students within few minutes the data base of the system will help you to check a particular one. The system will help you to check the mess bills of every student and the student’s hostel dues. The students of the hostel will be recognized from the ID number allocated at the room rental time. In the last this system will improve the management work in the hostel.
2. REQUIREMENT ENGINEERING
Systematic requirements analysis is also known as requirements engineering.[3] It is sometimes referred to loosely by names such as requirements gathering, requirements capture, or requirements specification. The term requirements analysis can also be applied specifically to the analysis proper, as opposed to elicitation or documentation of the requirements, for instance. Requirements Engineering can be divided into discrete chronological steps:
 Requirements elicitation,
 Requirements analysis and negotiation,
 Requirements specification,
 System modeling,
 Requirements validation,
 Requirements management.
Requirement engineering according to Laplante (2007) is "a subdiscipline of systems engineering and software engineering that is concerned with determining the goals, functions, and constraints of hardware and software systems. In some life cycle models, the requirement engineering process begins with a feasibility study activity, which leads to a feasibility report. If the feasibility study suggests that the product should be developed, then requirement analysis can begin. The requirement engineering provides the appropriate mechanisam for understanding what customer wants.
2.1 FEASIBILITY STUDY
Feasibility study conducted once the problem is clearly understood.Feasibility study is a high level capsule version of the entire system-analysis and design process.The objective is to determine quickly and at the minimum expense how to solve the problem and to determine the problem is solved.The system has been tested for feasibility in the following ways.
Technical feasibility
Operational feasibility
Economical feasibility
2.1.1 Technical feasibility
A study of function ,performance and constraints may effect the ability to achieve an acceptable system so ,that necessary function and performance are achieved with in the constraints uncovered during system analysis.The software developed for the automation of Hostel Management System is platform independent and has predefined functions and constraints such as to locate the charges ,validating functions etc.,so the project and implimentation is technically feasible.
2.1.2 Operational feasibility
The purpose of this project and implimentation is to develop software named Hostel Management which facilitates quick registration process.The activities of the system such as data entry ,information retrieval ,updating and deletion of records from various tables etc are made easy .All the operators of this project and implimentation are trained in this area.So this project and implimentation is operational feasible.
2.1.3 Economical feasibility
Economic analysis includes a broad range of concerns that include cost benefit analysis ,long term cooperative income strategies,cost of resources needed for development .In existing they had to maintain a large number of books/registers is a costly affair.This can be avoided by putting the data in the computer format that is cheaper and reliable.Since the cost of resources for development of system satisfies the organization,the software is economically feasible.
2.2 REQUIREMENT ANALYSIS
Requirements Analysis is the process of understanding the customer needs and expectations from a proposed system or application and is a well-defined stage in the Software Development Life Cycle model. Requirements are a description of how a system should behave or a description of system properties or attributes. It can alternatively be a statement of ‘what’ an application is expected to do.Given the multiple levels of interaction between users, business processes and devices in global corporations today, there are simultaneous and complex requirements from a single application, from various levels within an organization and outside it as well.The Software Requirements Analysis Process covers the complex task of eliciting and documenting the requirements of all these users, modeling and analyzing these requirements and documenting them as a basis for system design. Software Requirements Analysis and Documentation Processes are critical to software project and implimentation success. Requirements Engineering is an emerging field which deals with the systematic handling of requirements.

Introduction

This system is designed in the favor of the Hostel Management, which helps them to save the records of the students about their rooms and other things.

It helps them from the manual work from which it is very difficult to find the record of the students and the mess bills of the students, and the information about those students who left the hostel some years before.

It also helps them to retrieve the staff details.

This system also carries out the automatic allotment or evacuation of rooms for the students and also, automatically calculates all the bills and issues the notifications for those students who are against some rules.

Thus, in order to ease the process, we need to develop software which can handle all the aforementioned problems.

To replace the existing system which is much more time consuming, we are developing a software which is user-friendly and its functionality is very good compared to the existing one.

LIMITATIONS :-


Records are hand-written in registers.

Too many registers for too much information.

Registers are not very well maintained.

Any types of details are not available easily.

Any type of loss or damage of these registers causes the loss of many records at a time.

ADVANTAGES

The system takes the details of reservations. It allocates reservations to beds. It stores all the information on a database. Links within the display make it especially easy to use.

Any data from the system can be exported either on paper, as a comma-separated text file, or in XML format. In this way, it can be made to interact with other packages, such as financial systems, word processors (for invoices) and booking engines, provided those systems facilitate it.

All the data are held on your computer, it does not involve the Internet.

Within the scope of the software, the system can be tailored to your
particular hostel’s needs for a moderate extra cost.

The system runs on a single computer.

It is kept simple, easy to learn, and low cost, thus making it work on a wide range of platforms.

Introduction

Legal document Management system is a document management system prepared for the local court on pilot project and implimentation basis. This project and implimentation will help them to manage all legal cases registered in the court.

Purpose

The purpose of this document is to specify requirements and to give guidelines for the development of above said project and implimentation. In particular it gives guidelines on how to prepare the above said project and implimentation.

Existing System

At present all records are typed in typewriter and they are filed. Because of thousands of records searching for the required data is time consuming. Typing using the typewriter leads many problems. For each error they have to make a note and get the signatures. Also system is not pool proof.

Proposed System

In the proposed system all information will entered to system. All scheduling can be done in the computer it self.


The frontend of this project and implimentation is Visual Basic 6.0 and Backend is MSAccess.

INTRODUCTION

The project and implimentation named Hostel Management System has been developed using ASP.NET. This project and implimentation has been developed in partial fulfillment of Requirements for the degree of MCA (2007-2010), Punjab Technical University.
Hostel Management System is web based application which helps to book Hostel in anywhere in the world. It helps to find a Hostel in a particular country or state or city. It then shows the list of Hostel s, which are located in that particular country or state or city. Customer can select anyone of the given Hostel s and can book the Hostel according to requirement.

PROBLEM WITH EXISTING SYSTEM

In manual system, there are lots of problems especially with finding the Hostel s in other countries or states or cities. It is very costly to find Hostel s and then to contact them to book a room.
Customers can not see the surroundings without visiting it personally. So the customers can see the details of Hostel like rates, location, surroundings etc. online. This program has solved the problem to find the best Hostel s in a particular location. Customer doesn’t need to waste the time in finding Hostel s. Customer just needs to specify the location where he/she wants to go and program will display the complete list of the all the Hostel s located in that location. Moreover booking of Hostel in this program is not cumbersome task. It is very easy to find the suitable Hostel s for your requirement.

SOFTWARE REQUIREMENT SPECIFICATION

PROJECT SCOPE

Completion of the development process will result in a web application that will provide user-friendly environment, which is very easy to work with, even for people with very little knowledge of computer. Management of various tasks is incorporated in the package and will deliver the required information in a very easy to use and easy to access manner. This package will provide accuracy, efficiency, speed and easiness to the end user. Paper work will be subjugated and come to an appropriate level. Monotonous and tedious part of work will become fascinating. Since the system is verified with valid as well as invalid data and is run with an insight into the necessary modifications that may require in the future, it can be maintained successfully without much hassle
